VENTURE FUND ADMINISTRATOR - EMERALD STAGE2/MAG

Reports to:
BFTP/SEP VP Investment Group: Emerald Stage2 Venture Fund Manager and Director,MAG

Summary:
Responsible for supporting the administration and fundraising efforts of the BFTP/SEP affiliated venture fund, Emerald Stage2 Ventures. Primary responsibilities include general administration of the daily venture fund activities. Conduct research on potential fundraising targets, status-tracking and correspondence with all open fundraising leads as well as managing extensive fund closing logistics for subsequent Fund closings.

In addition, the position is responsible for Providing diverse secretarial and administrative support functions for both the Emerald Stage2 and Mid-Atlantic Angel Group venture funds.



Duties and Responsibilities for Emerald Stage2:

  • Manage daily fund administrative duties including meeting planning, calendar management and general fund administration.

  • Lead research into potential regional individual and institutional venture fund investors

  • Research proper contact people to approach regarding potential investment

  • Assist Fund Manager in arranging and setting up and scheduling investor meetings

  • Prepare and track receipt of materials requested by potential investors

  • Enhance and update Fund’s collateral sales materials and web site

  • Coordinating fund closing logistics, coordinating legal closing process with investors

  • General administrative oversight of Limited Partner reporting and communications as well as quarterly and year-end accounting processes

  • Oversight of the deal pipeline including receipt prioritization and evaluation processes

  • General administrative oversight of Fund investment opportunities in the BFTP/SEP portfolio

  • Perform initial due diligence analysis of potential investment opportunities

  • Perform in-depth due diligence research that will include market research around potential investments



Essential Duties and Responsibilities for MAG:

  • Receive and handle routine calls and direct appropriately, Act as key contact for Fund members

  • Respond to inquires concerning meetings, documentation, K1’s, Assist Fund manager in arranging and coordinating investors meetings

  • Provide updates on company investments to fund Membership as required

  • Organize meetings, Reserve and prepare facility and provide refreshments as needed, Prepare teleconferencing, remote web access and other technical assistance for meetings

  • Assemble, organize, copy and mail proposals to committee members in preparation for meetings

  • Act as liaison with service providers including, bankers, accountants, lawyers, insurance providers etc… Provide information to VMS for preparation of monthly financials, and annual reports.

  • Type routine correspondence and drafts, contracts, proposals, final reports and vouchers

  • Manage membership list and database updates including all contact information

  • Create follow-up correspondence with companies and potential investments. Create, organize and maintain investment files, management of deal closing documents, Prepare documents for signature, and manage closing reports.

  • Assist in the facilitation of the fund’s investment process through the deal process with sourcing, screening, performing due diligence and monitoring the process

  • Prepare reports per requirements and request of other Stakeholders, including BFTDA, Delaware, BFTP/SEP etc...

  • Prepare and obtain appropriate authorization for expenses relating to MAG

  • Perform diverse secretarial support for MAG

  • Coordinate travel schedules and reservations

  • Lead research into potential venture fund investors throughout the region

  • Enhance and update Fund’s collateral sales materials

  • Coordinating fund closings logistics, coordinating legal process with investors

  • General administrative oversight of Fund startup logistics

  • Research potential fund investment opportunities in the BFTP/SEP portfolio

  • Perform initial analysis of potential investments companies

  • Perform other job-related duties and special projects assigned.



OTHER SKILLS AND QUALIFICATIONS REQUIREMENTS:

Technical:

  • Proficiency in Microsoft Office including Word and PowerPoint. High skill level in Microsoft Excel required

  • Experience in finance and preferably High Tech finance

Analytical:

  • Excellent analytical skills

  • Ability to work independently, handle multiple tasks, set priorities, meet deadlines, and adjust quickly to meet changing priorities

  • Good problem solving skills

Communications:

  • Maintain the highest professional standards in all written and oral communications

  • Must be able to maintain the highest level of confidentiality

  • Interact professionally and communicate effectively with colleagues, clients, the general public and investors

Other Qualifications:
  • Must be very detailed and process oriented

  • B.S in Business Administration, or equivalent required, with a high GPA.

  • Educational studies in business or economics

  • Must be willing to assist others, a team player, conscientious, responsible, and hard working.

  • Must be self-motivated and willing to work extra hours as needed

  • Ability to work with and provide basic analysis of quantitative information: statistics, economic data, etc...

  • Background in business or economics; interest in entrepreneurial finance.
